The Lerner College IT Department is facilitating access to OpenAI’s ChatGPT Team for faculty and staff to support official University activities, including teaching, research, and administrative functions. This initiative aims to provide enhanced AI capabilities within a secure and compliant framework.


Overview of AI Offerings at Lerner College

There are multiple Generative AI options available for use within the College. One of the following tools may be more appropriate for your needs depending on features and cost. All of the items below are approved for institutional use at the University of Delaware. Some solutions, such as ChatGPT Team, are only offered individually depending on use-case.

Column 1 is "Institutional Use - No Cost". It lists Microsoft CoPilot for chat, image generation, and file editing, and Google Gemini for chat, image generation, deep research, and integration into Google Apps.

Column 2 is "Institutional Use - Paid". It includes Microsoft CoPilot 365, which adds higher file size limits and Office 365 integration, and Google Gemini Education, which includes all Gemini features plus NotebookLM Pro.

Column 3 is "Requires Individual Review - Variable Cost". It lists ChatGPT Team, which is provisionally approved for Institutional Level II Data, and Microsoft Azure AI API, which provides API access to multiple vendor models with consumption-based pricing.

Advantages of ChatGPT Team over ChatGPT Plus (personal subscription)

  • ChatGPT Team offers data protection measures for institutional use, allowing University data up to Level II, unlike individual ChatGPT Plus accounts.
  • Higher message limits for GPT-4o and access to o3‑mini, o3‑mini‑high, and o1.
  • Access to Codex, a cloud-based software engineering agent capable of handling complex coding tasks in parallel.
  • Lerner IT will manage the billing centrally. All you need to provide is a University purpose code and approver for the monthly cost allocation.

Regarding Your Current ChatGPT Plus Subscription:

  • Separate Subscriptions: The ChatGPT Team subscription is a distinct service and will be billed separately from your existing Plus account. You can merge your history from a Plus account to a Team. However, you cannot merge data back out if you end your team subscription.
  • Action Required: You have the option to maintain both your personal ChatGPT Plus subscription and the new ChatGPT Team subscription, or you may choose to cancel your personal Plus subscription.
  • Data Security Reminder: Please remember that your individual ChatGPT Plus subscription has not undergone the University’s data classification and security review and should not be used for any Level II data. The new ChatGPT Team environment is the approved platform for such data.

Cost and Subscription Details:

  • The cost for ChatGPT Team is $30 per user, per month. This amount will be charged monthly to the University purpose code you provide and the purpose code approver is required.
  • Should you need to cancel your ChatGPT Team subscription at any point during the pilot, please contact lerner-support@udel.edu.

Any use of ChatGPT Team must still align with the University Directive for the Appropriate Use of Generative AI. Lerner College does not have access to any team-member prompts, responses, or data. This ensures privacy among members but requires individuals be responsible for their own use and compliance.
